This Privacy Policy for ClinicalFindr ("we," "us," or "our") describes how and why we might collect, use, and/or share ("process") your personal information when you use our website at https://clinicalfindr.com or any website of ours that links to this Privacy Policy (the "Services"). 1. What information do we collect?
Information you provide to us
When you use our matching form you may provide: first and last name; email address; mobile phone number (optional); ZIP code; date of birth; gender; and your answers to a study's eligibility questions (for example, whether you have been diagnosed with a particular condition). All information you provide must be true, complete, and accurate.
Sensitive information
Eligibility answers, date of birth, and gender may be considered health or sensitive information. We process them only to show you studies you may qualify for and, with your consent, to pass them to the study you choose. See our Consumer Health Data Privacy Policy.
Information automatically collected
When you visit the Services we automatically collect device and usage information: IP address, browser and device characteristics, operating system, referring URLs, pages viewed, actions taken, and approximate location derived from your IP address. We also receive the attribution identifiers that the advertising partner who referred you attaches to the link you clicked. This information is needed to operate and secure the Services, measure the effectiveness of our advertising, and for internal analytics.
2. How do we process your information?
- To match you with clinical research studies and other opportunities you may qualify for and to display those results to you.
- To pre-fill the enrollment forms of the studies and partners you choose to connect with, so you do not have to type the same information twice.
- To contact you — and to allow the studies and marketing partners you selected to contact you — by email, phone, and text message where you have consented.
- To measure and improve the Services, our advertising, and your experience, and to identify usage trends.
- For security and fraud prevention, and to comply with law.
3. When and with whom do we share your personal information?
Research studies and marketing partners
When you tap a result, the information you provided is transmitted to that study's recruitment site or partner so they can evaluate your eligibility and contact you. With the consent you give on our form, your information may also be shared with the marketing partners listed below so they can contact you about the opportunities you asked about. Each recipient's own privacy policy governs what they do with your information.

Service providers
We use third-party vendors who perform services for us and only on our instructions: website hosting and security (Cloudflare), product analytics (PostHog), and the advertising-attribution platform that records which referral led to your visit. They may not use your information for their own purposes.
Other situations
We may share information in connection with a merger, sale of assets, financing, or acquisition of all or part of our business; with our affiliates, who must honor this Privacy Policy; and where required by law, subpoena, or to protect our rights and safety.
4. What is our stance on third-party websites?
The Services link to third-party websites (the studies and partners you choose). We are not responsible for the safety, content, or privacy practices of any third party. Information collected by a third party after you leave our Services is governed by their policies, not this one.
5. Do we use cookies and other tracking technologies?
We use first-party storage in your browser to remember your form entries between steps of the matching flow and your privacy choices, and a first-party cookie carrying the attribution identifier of the referral that brought you here. We use PostHog for product analytics; it does not record the personal information you type. We do not use third-party advertising pixels on the Services.
6. How long do we keep your information?
We do not currently retain the information you enter into our form on our servers; it remains in your browser (you can clear it at any time through your browser settings) and is transmitted to the recipients you choose. Analytics and log data is kept only as long as needed for the purposes described above. Information you send us through our contact form is kept as long as needed to respond and as required by law.
7. How do we keep your information safe?
We use appropriate technical and organizational measures, including encrypted (HTTPS) transmission. No method of transmission or storage is completely secure, so we cannot guarantee absolute security; use the Services in a secure environment.
8. Do we collect information from minors?
The Services are intended for adults. We do not knowingly collect information from anyone under 18. Some studies enroll minors; in those cases the information must be provided by a parent or legal guardian who is inquiring on the minor's behalf. If you believe we have collected information from a minor, contact us and we will delete it.
9. What are your privacy rights?
Depending on your state of residence you may have the right to know whether we process your personal data, to access it, to correct inaccuracies, to request deletion, to obtain a copy, to opt out of targeted advertising or the sale or sharing of personal data, and not to be discriminated against for exercising these rights. To exercise any right, use our contact form (choose "Privacy request" or "Delete my information"). We will verify your identity using the information you provide and respond within the time required by law. You may designate an authorized agent; we may require proof of their authority.
Opting out of marketing. Because we do not retain your information, marketing communications come from the studies and partners you connected with. Reply STOP to any text or use the unsubscribe link in any email they send, or ask to be removed during any call. You can also contact us and we will relay your request.
10. Global Privacy Control and Do-Not-Track
We recognize and honor Global Privacy Control (GPC) signals. When your browser sends a GPC signal we treat it as a valid request to opt out of the sale or sharing of your personal information and stop passing your information to partners for that visit, with no further action required. Your explicit choice on Your Privacy Choices takes precedence over the browser signal. Because there is no industry standard for Do-Not-Track (DNT) signals, we do not respond to DNT at this time.
11. Do United States residents have specific privacy rights?
Residents of California, Colorado, Connecticut, Delaware, Iowa, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Texas, Utah, Virginia, and other states with comprehensive privacy laws have the rights described in section 9. In the preceding twelve months we have collected, and disclosed for a business or commercial purpose, the following categories of personal information:

Sharing your information with the studies and marketing partners you select may be considered a "sale" or "sharing" under some state laws. You may opt out at Your Privacy Choices. California residents may request, once per year, information about personal information disclosed to third parties for direct marketing purposes ("Shine the Light") by contacting us.
12. Text messages and calls
If you provide your mobile number and check the consent box on our form, you agree that ClinicalFindr and the marketing partners listed above may contact you at that number with marketing calls and text messages, including through automated technology, as described in the consent language shown at the point of collection. Providing a mobile number is optional and not a condition of using the Services. Message and data rates may apply; message frequency varies. Reply STOP to opt out of texts from any sender.
13. Do we make updates to this policy?
Yes. We may update this Privacy Policy from time to time; the updated version is indicated by the "Last updated" date above. Material changes may be announced with a notice on the Services.
